Privacy Policy

This policy explains what we do with your personal information when you contact us, place an order, or send us tapes, film or photographs to convert. We have tried to write it in the same plain English we use everywhere else on this site.

What we collect, and why

When you send an enquiry

Our enquiry form asks for your name, email address, phone number, and your town or postcode. You can also describe what you have and attach photographs of it. We use this to answer your enquiry and give you a price. The lawful basis is your consent, which you give by ticking the box on the form, and you can withdraw it at any time by emailing us.

When you place an order

Our order form asks for your name, email address, phone number and a collection or return address, along with a count of what you are sending and any deadline. We use this to price the work, arrange collection or postage, carry out the conversion and return your material. The lawful basis is performance of a contract with you.

When you pay a deposit

Card payments are handled entirely by Stripe. Your card number never reaches this website and we never see or store it. Stripe tells us only whether the payment succeeded, along with the amount and a reference. Stripe is a separate data controller for the payment itself and has its own privacy policy.

When you simply visit the site

Our host keeps standard server logs, which include IP addresses, for security and troubleshooting. We do not use Google Analytics, advertising pixels, or any other tracking on this website.

Your tapes, film and photographs

This is the part most people care about, so it gets its own section.

• The content of your recordings is yours. We convert it, return it, and that is the end of our involvement.
• Nothing is shared, uploaded to a public service, or shown to anyone other than you.
• Nothing is used in our advertising, on our website or on social media unless you tell us in writing that we may.
• Work is done in our own workshop. No part of it is sent to a third party or overseas.
• We keep a copy of your finished files for 90 days after we return them, in case something happens to yours. After that they are deleted from our systems.
• Your private download link expires 90 days after we send it.

Who else handles your information

We use a small number of suppliers who process data on our behalf:

• Hostinger – website hosting and our email service.
• Stripe – card payments.
• Fluent Forms – the form software on this website. Form submissions are stored in our own website database, not on a third party service.

We do not sell your information, and we do not pass it to anyone for marketing.

Cookies

This website sets only the cookies WordPress needs to work, plus cookies used to speed the site up by caching pages. We do not set advertising or analytics cookies, so there is nothing for you to accept or decline when you arrive. If that ever changes, we will update this page and ask for your consent first.

Two things on the site come from other companies, and both of them wait for you:

• Our example videos. The clips on our home page are hosted on YouTube, but nothing loads from YouTube until you press play. Until then you are only looking at a still picture. When you do press play, the clip runs through YouTube’s no-cookie player, which does not set advertising cookies, although Google may still store something on your device while the video is playing. That part is covered by Google’s own privacy policy.
• Card payments. When you reach the payment step on the order form, Stripe’s software loads and sets two cookies of its own. Stripe uses them to spot fraudulent payments. They are not used for advertising, and they are not set at all unless you get as far as paying.

How long we keep things

• Enquiries that do not become orders: kept for 12 months, then deleted.
• Order and payment records: kept for six years, because HMRC requires us to keep business records for that long.
• Your converted files: deleted 90 days after we return your order.
• Photographs you attach to an enquiry: deleted along with the enquiry.

Your rights

Under UK data protection law you have the right to ask us for a copy of the information we hold about you, to have it corrected, to have it deleted, to restrict or object to how we use it, and to have it transferred to someone else. Where we rely on your consent, you can withdraw it at any time.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk, by phone on 0303 123 1113, or by post to Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF.

Changes to this policy

If we change how we handle personal information, we will update this page and change the date at the top.
